Business Support
KEY ACCOUNTABILITIES:
§ Screen telephone calls, answer routine questions, take messages and refer callers to an alternative source
§ Arrange business trips (transportation and accommodation) timely and effectively, and handle and/or process expenses reimbursement per policy and procedure.
§ Arranges appointment and meetings with anticipation of possible complex situation (at a distance, internal/external interfaces, availability of attendees,…)
§ Compose and type routine letters and minutes and memoranda from general instructions.
§ Be one of the contacts for other departments and external requesters/contacts. Provides timely, courteous response to all, and when necessary refers to alternative source in the absence of team members
§ Maintain files and optimize rules for archiving and filing execution for expense claim, annual leave, travel plan…
§ Assist in preparation of the responsible director(s) and or team(s) budgets and accruals per finance guidance.
§ Provide admin/ logistic support to ad-hoc projects according to business needs
JOB-HOLDER ENTRY REQUIREMENTS:
§ College degree or above in any discipline. Bachelor’s degree preferred.
§ College English level 4 (or equivalent) is minimum and level 6 (or equivalent) is preferred
§ Minimum relevant experience through internship (6 months+)
§ 1-2 year working experience is preferred
§ Good understanding of work ethics and compliance requirements
§ Good understanding of office admin, purchasing, finance, HR, legal, IS policies and procedures.
§ Being able to handle multiple tasks
§ Being able to organize messages, requests, tasks according to level of urgency/priority
§ Quick learner to fit in a matrix organization with internal and external clients to interface timely and effectively
§ Solid verbal, writing, grammatical and spelling skills in both Chinese and English
§ Good computer skills including word processing, spreadsheet, graphics, and databases
§ Detail oriented
